About the role:

We are looking for a highly organized and proactive Assistant to provide administrative and operational support to the Management Board. In this role, you will play a key part in ensuring the smooth execution of Board activities, coordinating meetings, supporting senior executives, and managing various administrative processes. You will work closely with Management Board members, senior management, and stakeholders across the Baltic organization.

Your key responsibilities will be
  • Take minutes during Management Board meetings.
  • Prepare Board resolutions and distribute decisions to relevant stakeholders in accordance with established procedures.
  • Organize and coordinate Management Board meetings and joint Baltic Management Board meetings.
  • Plan meeting schedules, prepare agendas, and ensure timely collection and distribution of all meeting materials.
  • Ensure the smooth running of Board meetings and provide full administrative support throughout the process.
Additional responsibilities
  • Provide comprehensive administrative and operational support to Board members and the Assistant of the Management board.
  • Coordinate executive calendars, meetings, business travel, and visitor management.
  • Manage correspondence, documentation, and regulatory communications in accordance with internal procedures.
  • Support office operations, including invoice processing, workplace maintenance, and supply management.
  • Carry out additional tasks as assigned by the direct manager.
What we are looking for
  • Previous experience in Assistant, Board Coordinator, Administrative Partner, or similar role.
  • Excellent organizational, planning, and time-management skills.
  • Strong written and verbal communication skill in English.
  • Experience in preparing meeting materials, taking minutes, and handling confidential information.
  • Professional, service-oriented, and proactive approach to work.
2.600 € - 3.750 € a month
The final offer will depend on the experience and competencies of the selected candidate. Overall remuneration package consists of the salary together with other benefits.
